Ministry Liaison

REPORTS TO: The Pastor

TEAM: Administrative

STATUS: Part-time, in-office (16 hrs/wk)

SALARY: 17/hr


This position is in-office and part-time, working at the Front Desk Monday-Thursday from 1:00-5:00 p.m. In addition to regular hours, attendance at monthly staff meetings on select Wednesdays from 10:00-12:00 pm is required. 


The Ministry Liaison is the primary contact for Ministry Servant Leaders in the parish, assisting with event scheduling and other communications and administrative support tasks as assigned. This individual is responsible for championing all ministries to ensure their needs are met in seamless cooperation with the needs of the parish. The role requires patience, good humor, and the heart of a servant.


The Ministry Liaison also provides outstanding hospitality at the front desk. This person is the “face” of the organization in the afternoons. A team-player with a willingness to learn and help others, this individual enjoys managing multiple tasks while adapting to shifting priorities. The Ministry Liaison is a friendly, enthusiastic, dedicated and detail-oriented person who is comfortable using and serving as an administrator for a variety of software tools.


Responsibilities:

The Ministry Liaison will provide support to the parish in the following areas:

Ministry Oversight and Support

  • Maintain regular contact with all Ministry Liaisons, being well-versed in their purpose, assessing their needs, and assisting them with strategies to ensure their success
  • Maintain an annual schedule of Ministry events and perform continuous review in order to avoid conflicts among ministries (i.e., avoiding major events or marketing for multiple ministries that may limit their success.)
  • Resolve conflicts among Ministry Liaisons quickly and fairly
  • Represent the needs of ministries to the staff, communicating regularly, anticipating potential challenges, and negotiating resolutions in the best interests of all involved parties
  • Receive ministry event forms, request approval, and make necessary arrangements for events

Ministry Communications Strategy

  • Assist Ministry Leaders in developing marketing plans for ministry events, fundraisers, and the ongoing promotion of the work of the ministry (may be either one-time or recurring)
  • Facilitate communication between Ministry Leaders and Communications Coordinator to ensure marketing plans are executed (i.e., newsletter articles, pulpit talks, social media, etc.)
  • Consult with Communications Coordinator to assist Ministry Leaders in producing materials which conform to Pax Christi branding guidelines

Software Tool Administration and Support

  • Teach new (and current) employees and Ministry Leaders how to use Flocknote, including assisting in setting up new groups, email lists, etc.
  • Trouble-shoot Flocknote problems as needed
  • Maintain Facilities Schedule, assisting Ministry Leaders with room reservations and resolving potential conflicts with other church events
  • Develop online forms for various programs and ministries as needed
  • Create and manage Power Point presentations, in support of Ministry Leaders upon request
  • Update Parish Soft data upon request
  • Manage email in Microsoft Outlook and produce documents as needed in Word, Excel, Canva, and other office tools

Front Desk/Hospitality

  • Attend to the Front Desk Monday-Thursday from 1:00-5:00 p.m.
  • Assist parishioners and members of the public on the phone and in-person with various needs, including scheduling Mass intentions, answering questions, making room reservations, and directing them to other staff members who can assist them when necessary
  • Employ problem solving skills, discretion and good judgement to determine how best to help people
  • Adhere to office communication protocols and strategy

General Demeanor and Presence

  • Use discretion and maintain confidentiality
  • Stay up to date regarding parish and school events in order to provide accurate and useful information to community members and staff

  • Maintain friendly, professional appearance and demeanor at all times
  • Present and support the ideas, decisions, and vision of the pastor with enthusiasm
